Job Purpose 
The role-holder will provide the CEO with a wide variety of complex and confidential administrative, secretarial, analytical and research tasks whilst representing the CEO, both internally and externally. This role is critical in overseeing the activities of the CEO and ensuring that his diary is continually managed. 
 
As Chairman and NED of a number of other successful, fast moving and high-tech companies, our CEO is extremely busy and his time is precious. Therefore, he requires his EA to take the front seat and drive him forwards, always being ten steps ahead of him. Resilience, strength of character and a good sense of humor are all sure signs of success within this role.
 
From time to time, the Executive Assistant will be required to support the CEO out of normal office working hours. However, this is an extremely rare occurrence. Therefore, a flexible approach and attitude in this role is key in order to give our CEO optimum support. 
 
What will you be working on when you get here?
 
Your responsibilities will include:
 
 Organising and prioritising the CEO’s workload with a proactive approach, pre-empting potential outcomes.
 Key point of contact to and on behalf of the CEO, developing a strong network of internal and external contacts to facilitate effective communication across all teams.
 Extensive diary management of the CEO, taking into consideration different locations and time-zones.
 Arranging team meetings, on behalf of the CEO, and booking meeting rooms as required. Ensuring that meeting agendas are sent out in a timely fashion.
 Extensive liaison with investment banks, accountants and lawyers.
 Dealing with credentials of CEO level management information.
 Liaison with wider Risk function and senior business leaders within the region and globally.
 Extensive organisation of global business trips, including complex itineraries.
 Management of contacts to ensure information is up to date and accurate.
 Dealing appropriately with a range of enquiries via email, telephone or in person, prioritising the requests.
 Taking minutes and recording actions from meetings.
 Keeping track of CEO’s expenses and ensuring that the Finance team receive expense claims, with the appropriate receipts, in a timely fashion.
 Managing your own time effectively, highlighting problems and proposing possible solutions within existing resources. 
 Co-ordinating project-based work when needed.
 
 
Person specification
 
The role-holder is someone who has been working at a senior level, who is comfortable taking responsible executive decisions. We are looking for the following experience and skills:
 
 Experience in dealing with mergers and/or acquisitions and/or company financial events.
 Experience in dealing with investment bankers.
 Experience in working with gmail and gdocs would be ideal.
 Exceptional organisational skills. 
 Strong IT skills.
 Awareness of corporate governance.
 A confident individual with excellent communication skills, written and verbal.
 A driven self-starter who isn’t afraid to ask questions.
 The ability to remain calm under pressure.
 Meticulous attention to detail is essential.
 Discretion is of paramount importance.
